The Services Sales Coordinator will be responsible for providing general Services Sales Center support to the Account Teams, Engineers, Business Units and Contract Analysts. This position will coordinate Services Sales Center (SSC) Service Requests from initiation to completion, document standard operating procedures, assist the Services Sales Center Manager in all SSC related functions, and provide training to Services Sales Center internal clients on the use of the Services Sales Center dashboard/process as needed.
SUMMARY OF ESSENTIAL JOB FUNCTIONS:
Serve as the first point of contact for Internal Clients and direct Internal Clients on Services Sales Center standard processes and supporting processes.Assist Internal Clients in obtaining appropriate permissions for use of SSC process tools.Assist in the creation of Opportunity Requests as needed.Assist in the creation of ERP NetSuite Project Pages. Assist in the re-booking of projects as neededAssist in the creation of New Client, and New Client Project Folders within ERP system. Assist in the creation of Pass -Through documents and statement of work (SOW) reworks as needed.Assist in Master Service Agreement (MSA)/Non-Disclosure Agreement (NDA)/Sub-MPSA Verification and Template Selection.Assist in general follow up of SOW requirements inputs delivery and escalate resource delays to the Advanced Service Manager (ASM)s as needed. Assist by storing fully Executed SOWs and other Key documentation in the appropriate Project Folder.Facilitate Countersignature on Services related documents.Facilitate External Client Signature on Services related documents as requested by ASM or Account Team. Assist in escalation/resolution of urgent matters.
Monitor and manage logged opportunity requests queue in NetSuite. Monitor and maintain the Services Sales Center inbox.Review initial requests to determine and ensure process compliance. Assign opportunities logged in NetSuite to Contract Analysts and re-allocate workloads in case of assigned Contract Analyst Absence.Request additional details as needed to successfully manage the service request.Assist in coordinating internal/external Scoping Calls between Account Teams, Pre-Sales, Delivery, External Clients and SSC Contract Analyst as needed.Support SSC Management prioritizing and balancing contract analyst workload.
Search document repository for related SOWs and Request for Proposal (RFP) as needed.
Methodology & Process Improvement:
Assist with standardizing internal methodologies and processes to facilitate a seamless integration between sales and delivery organization. Own repository of standardized documentation and templates for Professional Services.Assist the SSC General Manager during presentations on the SSC Process. Deliver SSC processes user training as needed.
REQUIRED SKILLS AND EXPERIENCE:
Bachelor’s degree from an accredited university, or equivalent experience.Minimum of 2 years of relevant experience in services sales, technical writing, and/or project management support required.Experience in writing Statements of Work preferred.Proficiency in Microsoft Office (Word, Excel, PowerPoint, etc.).Exceptional writing, interpersonal and organizational skills, ability to handle multiple Sales Teams and rapidly changing priorities. Ability to communicate effectively with external and internal clients at all levels. Ability to plan, develop, and articulate business and technical functional objectives to meet stated customer initiated deadlines.Ability to work well under stressful situations.
While performing the standard duties of this job, the employee can expect light physical exertion with long periods of sitting, occasional standing and walking; limited bending, crouching, stooping, stretching, reaching, or similar activities; occasional lifting/moving of items up to 25 pounds. Hearing and speech communication in person and over the telephone is essential to fulfilling the duties of this position. Specific vision abilities required to read printed materials and a computer screen; including close vision and the ability to adjust focus.
